Feature Release: AI Autofill for Contracts

Introducing AI Capabilities to Streamline Your Contracts Workflow

Automate how you manage and track commercial opportunities and bid invites with TRUE’s AI Autofill. TRUE users will now have access to the AI AutoFill feature in the Opportunities module (found in the Contracts Workflow). AI Autofill scans your assigned email inbox for Invitation to Bid (ITB) emails, then captures all the information within an ITB email and sends it to TRUE. When the AI Autofill feature is used, the information is automatically sent to TRUE to create a new opportunity, and fill out the project information, such as project name, customer name, bid due date, job-site address, and job summary. The AI AutoFill feature will also upload any attached files as well as the ITB email itself into TRUE. 

This new feature reduces the need for manual data entry when an ITB is received. It keeps the opportunity and bid information accurate with less room for human error during data entry. The feature ensures no ITB emails are missed by automatically creating the opportunity within TRUE. 

Please note the AI AutoFill feature is available starting on Version 19.1.24 and all iterations after. This feature is available for users with the Contracts package enabled.

How Does AI Autofill Work?

This feature works in tandem with our existing Email Capture feature. There are two processes you can follow: 

1) Add a specific code to an ITB email (KOSMASEC-PJ-NEW) and forward the ITB email to your designated Email Capture inbox. TRUE will recognize the code when scanning that email inbox and trigger the system to create a new opportunity.

2) Forward the ITB email to your designated Email Capture inbox. Once TRUE has captured the email, a user is able to find that email within the TRUE system. This provides the flexibility for a user to assign that captured email to an existing opportunity. This also lets you add a secondary Bidder to an opportunity.
